This App Privacy Policy ("Policy") describes how 813 Management, LLC, a Utah limited liability company ("813 Management," "Company," "we," "us," or "our"), collects, uses, discloses, retains, and protects information through the Pulse CRM mobile application for iOS and Android (the "App").
Scope Limitation:This Policy covers only the App itself — the information it collects from your device and how it operates. The Pulse CRM and PulseAPI platforms, customer accounts, and the business records (leads, tickets, merchants, notes, and similar data) that your organization stores and accesses through the App are governed by the applicable customer agreement between 813 Management and your organization, not by this Policy. If you have questions about how your employer or organization uses your account data, contact your organization's Pulse CRM administrator.
This Policy should be read alongside our Privacy Policy, which covers the pulsecrm.com marketing website.
1Who Can Use the App
The App is a business tool for staff of organizations with a Pulse CRM account. There is no public sign-up inside the App — accounts are provisioned by an organization administrator. The App is not directed to, and is not intended for use by, members of the general public or children.
2Information the App Collects
2.1 Account and Authentication Data
To sign in, the App sends your email address and password, or a passkey credential, to our servers over an encrypted connection. If you enable Face ID or Touch ID, it is used only to unlock a passkey stored on your device — your biometric data is processed entirely by your device's operating system and is never transmitted to us or stored on our servers.
Once signed in, the App stores a session token and your selected account identifier on your device to keep you signed in (see Section 2.5).
2.2 Camera and Photo Library Data
With your permission, the App can use your camera to photograph documents or access your photo library to attach existing images to records in your organization's Pulse CRM account (for example, attaching a photo to a lead, ticket, or merchant record). Images you choose to capture or select are uploaded to your organization's Pulse CRM account. The App does not access your camera or photo library unless you take an action that requires it.
2.3 Push Notification Data
If you enable push notifications, the App registers a device push token with our servers, along with your email address and account identifier, so we can deliver relevant alerts (for example, a new lead or a ticket update) to your device through Apple Push Notification service or Firebase Cloud Messaging. If you disable notifications or sign out, we deregister the token.
2.4 Diagnostic and Crash Data
The App uses Sentry, a third-party error-monitoring service, to help us find and fix crashes and bugs. When the App crashes or encounters an error, we collect a crash report or error diagnostic, your device model, operating system version, and App version, along with an internal account identifier and a non-identifying internal user ID — never your name, email address, or password.
For a sample of sessions (and for sessions where an error occurs), the App also records a session replay so we can see how the interface behaved leading up to an issue. Every replay masks all on-screen text and images, so business data, credentials, and other on-screen content are never visible in a replay.
Requests to our sign-in and passkey endpoints are excluded from diagnostic capture entirely — their headers and request bodies are stripped before anything is sent to Sentry.
2.5 Locally Stored Device Data
The App stores your session token and current account identifier in your device's secure hardware-backed storage (Keychain on iOS, Keystore on Android). This data is removed from your device when you sign out.
3How We Use This Information
We use the information described in Section 2 only to:
- Authenticate you and keep you signed in to the App
- Attach photos or documents to CRM records at your direction
- Deliver push notifications you have enabled
- Diagnose crashes, fix bugs, and improve App stability
We do not use this information for advertising, and we do not sell it or share it with third parties for their own marketing purposes.
4Business Data Accessed Through the App
Once signed in, the App displays and lets you work with your organization's Pulse CRM records — leads, tickets, merchants, notes, and similar business data. 813 Management hosts this data and processes it on behalf of your organization, which controls it. How that data is collected, used, retained, and shared is governed by the customer agreement between 813 Management and your organization, not by this Policy. Questions about your organization's account data, or requests to access or delete it, should go to your organization's Pulse CRM administrator.
5Third-Party Service Providers
The App relies on the following categories of third-party service providers to operate:
- Sentry: crash reporting and error diagnostics, described in Section 2.4
- Apple: App distribution and push notification delivery on iOS
- Google: App distribution and push notification delivery on Android
- Expo / EAS: building the App and delivering over-the-air App updates
These providers process information only as necessary to provide their service to us and are subject to their own privacy and security terms.
6Permissions Requested by the App
Depending on your platform, the App may ask for the following device permissions. You can grant or deny each one individually, and change your choice at any time in your device's Settings app:
- Face ID / Biometrics: to sign in to Pulse CRM
- Camera: to take photos of documents
- Photo Library: to attach existing photos
- Notifications: to deliver alerts about your CRM records
Declining a permission may limit related features (for example, you won't be able to attach a new photo without Camera or Photo Library access), but the rest of the App will continue to work.
7Data Retention
- Locally stored session data (Section 2.5) is removed from your device when you sign out or uninstall the App.
- Push notification tokens are removed when you disable notifications or sign out.
- Crash reports and diagnostic data are retained only for as long as necessary to diagnose and resolve issues, consistent with our service provider's standard retention practices.
- Photos, documents, and other business records you create through the App are retained according to your organization's customer agreement with 813 Management, not this Policy.
8Data Security
- All communication between the App and our servers is encrypted in transit (HTTPS/TLS).
- Session tokens are stored in your device's hardware-backed secure storage, never in plain text.
- Biometric authentication (Face ID / Touch ID) is handled entirely by your device's operating system; we never receive your biometric data.
No method of electronic transmission or storage is 100% secure. While we work to protect your information, we cannot guarantee absolute security.
9Children's Privacy
The App is a business tool intended for use by adult employees and representatives of organizations with a Pulse CRM account. It is not directed to children, and we do not knowingly collect information from anyone under the age of 18 through the App.
10Your Choices
- Manage Camera, Photo Library, Face ID/Biometrics, and Notification permissions at any time in your device's Settings app.
- Sign out of the App to remove locally stored session data and deregister your push notification token.
- For questions about your organization's account or business records, contact your organization's Pulse CRM administrator (see Section 4).
- For questions about this Policy or the App itself, contact us using the information in Section 12.
11Changes to This Policy
We may update this Policy from time to time. Changes are effective when we update the "Last updated" date at the top of this page.
Material changes to how the App collects or uses information will be reflected here before or as they take effect. Your continued use of the App after a change constitutes acceptance of the updated Policy.
